DUTIES OF STATE OFFICERS
Within the state and must be well informed about AMT.
Duties: 1. Must be familiar with state and National bylaws and State officers Manual. 2. Is responsible le for conducting the office in strict accordance with national and State bylaws and the administrative policies outlined in the State Officers Manual. 3. Is responsible for all state funds and for state and national property. 4. Will conduct at least the minimum required meetings each year. Additional meetings may be held. Please see checklist, located in the State Officers Manual Appendix, for planning seminars. 5. Is ultimately responsible for the state publication. 6. Must sign the business meeting minutes, sign the board meeting minutes if serving as chairperson of the Board and forward to the District Councillor and Executive Councillor within 30 days following the meeting. 7. Will submit the State Society News report form to the AMT office according to the designated schedule. 8. Will petition the Executive Councillor via the District Councillor for approval to hold joint meetings with other state societies and / or organization. 9. Must see that the guidelines established for bylaws changes are followed. 10. Will use Robert’s Rules for Parliamentary Procedure. 11. Will inform the District Councillor of any incident detrimental to the state Society or AMT. 12. Is responsible for the annual audit. 13. Will submit a quarterly report to the District Councillor. 14. Is directly responsible for the membership committee. 15. Will appoint a chairperson for each of the state society committee. 16. Will inform the AMT home office officers’ address changes. 17. Will co-sign all checks and will monitor the financial status. 18. Will obtain prior approval from the District Councillor for holding a state meeting in conjunction with a district seminar. 19. Is responsible for preparing and submitting in writing to the District Councillor an updated inventory of state equipment yearly. 20. Will petition the District Councillor for permission to purchase state society equipment that exceeds the current allowed rate ($500). 21. Will not schedule a state meeting three (3) weeks prior to or three (3) weeks after a district or national meeting. 22. Will cooperate and communicate with state officers and members District Councillor. 23. Will review the state society bylaws and forward copies to the District Councillor and the Judiciary Councillor, annually. 24. Will submit information for “Hall of Memories”. 25. Will promote the best interests of both the state society and AMT. THE STATE VICE PRESIDENT—The state Vice President must know the Duties of the President and be ready to conduct that office in absence of incapacity of the President. Duties: 1. Must be familiar with state and national bylaws and State Officers Manual. 2. Will aid and assist the state president with committee assignments and other society functions. 3. Will exercise executive supervision over all state committees except the membership committee. 4. May officiate as the society’s official host to honored quests and speakers, and arrange accommodations, and departure. THE STATE SECRETARY—The secretary is to maintain complete permanent records of all the state society activities in an efficient and orderly manner. Duties: 1. Must be familiar with state and national bylaws and State Officers Manual. 2. Will be accountable to the President for all state or national property in his/ her possession. 3. Will ensure the mailing of a meeting notice to all state members, the Executive Councillor and District Councillor at least thirty (30) days prior to the meeting. 4. Will be well informed on parliamentary procedure and handle all correspondence in and efficient manner. 5. In the absence of the Vice President, administer the duties of that office. 6. Must prepare copies of the minutes and send the original copy of the minutes with his/her signature to the President within Fourteen (14) days after the meeting. ** samples of minutes and information contents see State officers Manual. STATE TREASURER—The treasurer is accountable for all funds and Financial records of the state society and is responsible for preparing a treasurer’s report to be submitted with the minutes of each business meeting held. Duties: 1. Must be familiar with state and national bylaws and State Officers Manual. 2. Set up or maintain a state society bank account with updated signature cards. 3. Deposit state society funds in an insured bank of the society’ choice. 4. Have each check co-signed by the President. 5. A minimum of four (4) signatures , including the District Councillor’s shall on all bank accounts 6. Provide records for the annual audit (see officers manual for records need for audit). 7. Receive, record and deposit all funds and keep files of receipts , canceled checks and vouchers covering all disbursements. 8. Submit with the minutes, an itemized financial report ( showing income and Expenses). 9. Submit bank statements to the President and District Councillor each quarter. Appointed Committees:
STATE SOCIETY COMMITTEES
Membership Committee—The membership is under the direct supervision of the state President, and all officers and members are on this committee. The success of any organization depends upon its ability to grow. The State society could double its membership overnight if each member would obtain just one single new member. THE MOST EFFFECTIVE WAY TO OBTAIN NEW REGISTRANTS IS BY PERSONAL CONTACT. SCIENTIFIC COMMITTEE—This committee and its chairperson are appointed by the state president and supervised by the Vice President. 1 It is the duty of this committee to arrange the scientific programs for The state society. 2. This committee procures speakers, films, and other scientific program aids. Publicity Committee—This committee and its chairperson are appointed by the state president and supervised by the Vice President. 1. The purpose of the publicity committee is to keep the state Society before the public eye. This is done through news releases In leading local newspapers and other media contacts. 2. Committee members should be aware of possibilities of organization Promotion e.g., announcements of upcoming meetings, stories on interesting speakers, articles about award winners or newly elected officers, materials of interest to healthcare consumers. In addition To obvious media outlets, i.e., radio, TV, newspapers—remember to contact local hospital schools, and area health –care industry.
PUBLICATION COMMITTEE—This committee and its chairperson Are appointed by the state President and functions under the supervision Of the Vice President. 1. This committee publishes and distributes state society publications. 2. The chairperson on this committee should consult with the national Publications committee chairman when establishing the state publication and maintain periodic contact. 3. A copy of the State Society editor’ manual should be obtained from The Publications Committee Chairman. All members of the committee should become familiar with its contents. 4. The editorial staff should be carefully selected from those willing to Volunteer time and talent. Proctoring Committee—This committee shall service under a chairperson appointed by the state president. The Purpose of the committee is to proctor examinations for certification in the AMT, in accordance with directives from AMT. The AMT Office will publish a list of dates and locations. The committee chairperson is the liaison between the AMT office and state proctors. See officer’s manual for more detailed information. Legislative Committee—This committee shall function under a chairperson Appointed by the president and shall contain such additional members as the president shall appoint. See officers Manual for more detailed information. Auditing Committee—This committee and it chairperson are appointed by the state president for the purpose of the annual audit of state society financial records. See officer’s manual for more detailed information. Nominating Committee—This committee and its chairperson may be Appointed by the state President at a meeting prior to the date of an election of state officers, or may be elected, according to the dictates of the state society bylaws. Delegates of the annual Business Meeting @Nationals—Each charted State society will elect delegates and alternates to represent the state Society at the Annual Business Meeting. The minutes of the meeting at Which delegates and alternatives are elected shall contain the full name Address, certification and phone number of each delegate and alternate Elected. List of delegates will be submitted to AMT office on delegate form in officer manual. For delegate duties and responsibilities, and guidelines see officers manual.
